We go through your recent history across every account first — that tells us your real volume and how much clean-up is sitting there. Then we get you into QuickBooks Online, connect the feeds, and build a chart of accounts that fits your business. Any clean-up is quoted as a fixed number before work begins.

Getting started

Usually within a week of the first call. Set-up takes a few days once we have access, and your first close lands at the end of the following month. If there is significant clean-up, add two to four weeks before the monthly rhythm starts.

Read-only access to your accounts, your most recent statements, and an hour of your time to explain how the business actually works. After onboarding, expect a short list of questions each month and very little else.

It is common and it is fixable. We quote historical clean-up separately based on how far back it goes and how bad it is. You will get a fixed number before any work starts, not an open-ended hourly arrangement.

Yes. We work exclusively in QuickBooks Online because bank feeds, rules and reconciliation tools make the work reliable and repeatable. Migration from Xero, Wave, spreadsheets or a shoebox is handled as part of onboarding.

Pricing and packages

Count your accounts and roughly how many transactions run through them each month. Most owner-run businesses land in Essential or Growth. If you are unsure, the first call will settle it, and we would rather put you in the smaller package and move you up than the reverse.

An occasional busy month is not a problem and we will not invoice you for it. If your volume has genuinely moved up, we will tell you and discuss moving packages. You will never receive an unexpected bill.

No set-up fee for the ongoing engagement. Historical clean-up, if you need it, is quoted separately as a one-time amount before we begin.

No. Monthly, cancel any time with 30 days notice. If you leave, your QuickBooks file is yours and we will hand over everything needed to move on cleanly.

Scope and limits

No. We are not a CPA firm and we do not prepare or file returns, represent you before any taxing authority, or give tax advice. We keep the books your CPA works from and tell you plainly when something belongs with them.

We do not process payroll. We reconcile and map payroll transactions from whichever provider you use, so the numbers land correctly in your books.

Yes, and it usually makes their job cheaper. Clean, reconciled books mean less time spent on clean-up at year end. We will coordinate with them directly if you would like us to.

Bookkeeping tells you what happened. Fractional CFO adds the forward view — a rolling cash forecast, tax reserve planning, and a monthly call about decisions. They are separate engagements and can run together or on their own.

Working together

Roughly thirty minutes a month for Essential, about an hour for Growth given the review call. The whole point is that you spend less time on this, not more.

Access is read-only wherever possible, credentials are never shared over email, and everything lives inside QuickBooks Online rather than on a laptop. We only request the access a task genuinely needs.

It is a conversation, not a project. The books are already ours and already clean, so the forward-looking work can start the following month.
